Cookies should serve a defined product, security, or measurement purpose.
1. Scope and technologies covered
For purposes of this Policy, “cookies” includes HTTP cookies and comparable technologies that store or retrieve information from a browser, device, or application, including local storage, session storage, software development kits, pixels, tags, device or browser identifiers, and similar mechanisms where they are used.
This Policy applies to technologies deployed by Collablynx on the public website and, where applicable, the customer portal and Collablynx product interfaces. Customer-controlled integrations, identity providers, cloud platforms, AI providers, payment processors, and other third parties may use their own technologies under their own terms and privacy notices.
2. Categories of cookies and similar technologies

The exact technologies in use can change as the website and products evolve. Collablynx will not characterize a non-essential tracking technology as “strictly necessary” merely to avoid a required consent or choice mechanism.
3. How Collablynx uses cookies
- Secure authentication and sessions. Preserve authorization state during login, MFA, redirect, organization selection, and product-launch flows.
- Protect forms and services. Detect automated abuse, cross-site request forgery, repeated submissions, suspicious sessions, and other security conditions.
- Remember preferences. Retain user-selected interface or accessibility choices where configured.
- Operate and troubleshoot. Understand technical failures, latency, page performance, and service reliability.
- Measure public-site effectiveness. When analytics or campaign measurement is enabled, understand aggregate engagement with public product information.
- Maintain licensing integrity. Product sessions may use security signals to help enforce named-user access, subscription entitlements, and restrictions on credential or session sharing.
4. First-party and third-party technologies
First-party cookies are set by a Collablynx-controlled domain. Third-party technologies may be provided by services used for identity, hosting, analytics, security, payments, customer support, content delivery, or other approved business functions.
Where a third party processes personal information on behalf of Collablynx, Collablynx applies contractual and security requirements appropriate to the service. Where a third party acts independently—for example, a customer-selected identity provider or external integration—its own privacy terms may apply.
Collablynx does not authorize a third party to use Customer Content for unrelated advertising or generalized public-model training merely because the third party provides a technical integration. Product-specific data handling is governed by the applicable agreement and Privacy Policy.
5. Customer portal and product-session technologies
Customer Login and product applications may use cookies or equivalent session mechanisms to establish and protect authenticated sessions. These technologies can contain or reference opaque session identifiers, organization context, security state, entitlement state, anti-forgery values, or other information necessary to maintain a secure session.
They are not a substitute for server-side authorization. Vantage, Cadence, DocuForge, the portal, and platform APIs should independently validate product entitlement, organization membership, role, and session validity before protected actions are performed.
Session cookies, tokens, API keys, authentication codes, recovery methods, and similar access mechanisms must not be shared with another person. Account and licensing restrictions are described in the Terms of Use and Subscription License.
6. Your cookie and browser choices
Depending on your location and the technologies enabled on a particular Collablynx property, you may be able to accept, reject, or manage non-essential technologies through a cookie preference interface, browser controls, device settings, or other legally recognized preference mechanisms.
Browser settings commonly allow users to block, delete, or limit cookies. Blocking strictly necessary technologies can prevent authentication, saved preferences, fraud protection, or requested product functionality from working correctly.
Choices made in one browser, device, profile, or subdomain may not automatically apply to another. Authenticated product environments may also require separate functional session technologies from the public marketing site.
7. Global Privacy Control and opt-out preference signals
Where applicable law requires Collablynx to recognize a qualifying browser-based opt-out preference signal, such as Global Privacy Control (GPC), Collablynx will process that signal for the legally covered purpose and scope. An opt-out signal does not disable strictly necessary security or product-session technologies.
If Collablynx does not sell or share personal information for cross-context behavioral advertising in a particular deployment, a GPC signal may have no additional advertising-related effect beyond the controls already applied. 8. Duration and retention
Some cookies are session-based and expire when the browser session ends. Others may persist for a defined period so that a preference, security decision, or measurement state can be remembered. Retention is limited according to the purpose of the technology, security needs, applicable law, contractual commitments, and configured service requirements.
Where a consent-management or cookie-inventory interface identifies a specific technology, its listed duration should reflect the configured deployment. Collablynx will update public disclosures when material tracking practices change.
9. Security and misuse prevention
Cookies and similar technologies can be sensitive when they represent authenticated sessions. Collablynx uses safeguards designed to reduce unauthorized access, including secure transport, appropriate cookie attributes, session expiration, server-side authorization, revocation, logging, and other controls based on the product architecture.
Users should sign out of shared devices, protect their browser profile and endpoint, avoid copying session values or access tokens, and report suspected compromise promptly.
10. Changes to this Cookie Policy
We may update this Policy when technologies, products, legal requirements, or data practices change. Material changes will be reflected by an updated effective date and, when legally or contractually required, additional notice or renewed choice.
